Your instructor will assign peer partners. The following prompts should guide your peer review, an important step in drafting. You don’t necessarily have to respond to each and every prompt, but you should respond, in one way or another, to a majority of them. Is the report professional, clear, substantial? • Comment on the cover page. Does it grab the reader’s attention? Does the title provide information about what is in the report (instead of just mentioning the topic of the report)? • Comment on the title page design. Does it include the appropriate information? • Comment on the letter or memo of transmittal. Does it follow the guidelines described in our readings? • Comment on the executive summary. Does it provide a “mini-report?” • Comment on report tone. Remember that the report should be written in a more formal tone, which usually means no personal pronouns (like “you,” “we,” etc.). A less formal tone can be used in a letter or memo of transmittal. • Comment on the table of contents layout and page design. Note in particular whether page numbers are easy to read. Do they accurately reflect the appropriate sections for the report? • Can particular parts be found quickly and easily? Make suggestions to improve headings, subheadings, etc. • How well does the draft define the problem that motivated the report? Is it clear why the problem is significant to the intended audience? Say what you like about it and/or suggest improvements. • Are visual aids effective? Are they labeled clearly? Are they introduced and integrated correctly with the text? • Is the style clear and concise? Are there grammatical, spelling, or punctuation problems? Mark any long paragraphs (paragraphs should be 125 words or fewer). • Are references cited appropriately? Are they consistently handled? • What material is included in the appendix? Is each entry clearly labeled? Is each entry referred to in the body of the report? • Is the material included in the appendix appropriately placed there? Would it be more appropriately placed in the body? • Make any final comments. Remember: you have learned a great deal about professional business writing this semester.
